Course Booking, Cancellation & Refund Policy

Applies to Rx£ — Money & Medicines, CDAO Mastery and other KTC courses
1. Scope
This policy applies to all bookings for KTC courses and training programmes, including Rx£ – Money & Medicines and CDAO Mastery (each a “Course”), whether booked by an individual paying personally (an “Individual Booking”) or by an organisation on behalf of one or more delegates (an “Organisational Booking”). It should be read alongside our Website Terms & Conditions.
2. How a Booking Is Made
A booking is confirmed, and a contract formed between you and KTC, once we have received your completed booking (via the Website or otherwise) and, where payment is required upfront, cleared payment or an agreed invoicing/purchase order arrangement. We will send written confirmation of your booking by email.
3. Fees and Payment
Course fees are as stated on the relevant Course page at the time of booking, and are payable in full unless we have agreed a different payment schedule with you in writing (for example, against a purchase order for an Organisational Booking). All fees are quoted in GBP and, unless stated otherwise, are exclusive of VAT where applicable.
4. Your Right to Cancel – Individual Bookings (Consumers)
If you are booking as an individual for your own use, rather than on behalf of, or paid for by, an employer or other organisation, you are a “consumer” for the purposes of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, and the following applies in addition to Section 6 below:
You have the right to cancel your booking within 14 days of the date of booking, without giving any reason, and receive a full refund.
If the Course start date falls within this 14-day period and you would like to secure your place before the 14 days have elapsed, we will ask you to expressly confirm that you want the Course to begin before the cancellation period ends, and that you understand you will lose your right to a full refund once the Course has been fully delivered. If you cancel after the Course has started but before it has finished, you will be charged a proportionate amount for the training already provided.
To exercise this right, contact us via our Contact page before the 14-day period expires. We will process any refund due within 14 days of being notified.
Outside this initial 14-day period, Individual Bookings are subject to the standard cancellation schedule at Section 6.
5. Cancellation – Organisational Bookings
Where a Course is booked by, or invoiced to, an organisation (including an NHS trust, ICB, pharmaceutical or MedTech company) on behalf of one or more delegates, the statutory cancellation right described in Section 4 does not apply, as this is a business-to-business contract. Organisational Bookings are governed solely by the standard cancellation schedule at Section 6.
6. Standard Cancellation & Refund Schedule
Except where a longer or more generous right applies under Section 4, the following notice-based schedule applies to all cancellations, calculated by reference to the Course start date:
28 or more days’ notice: full refund, less a £15 administration fee
14-27 days’ notice: 50% refund
Less than 14 days’ notice, or after the Course has started: no refund available, but see Sections 7 and 8 for alternatives

7. Delegate Substitution
If a named delegate is unable to attend, you may substitute another delegate from the same organisation at no additional charge, provided you notify us in writing via our Contact page at least 15 working days before the Course start date.
8. Transfer to a Future Cohort
Where a cancellation falls within the “no refund” window at Section 6, we will, at our discretion, offer a one-time transfer of the fee to a future cohort of the same Course, subject to availability, rather than a refund.
9. Cancellation or Postponement by KTC
Occasionally we may need to cancel, postpone or reschedule a Course, for example due to insufficient enrolment or faculty unavailability. If we cancel a Course, you will be offered a full refund or a place on an alternative cohort. If we postpone or reschedule a Course, you may transfer to the new date free of charge or request a full refund if the new date does not suit you.
10. Non-Attendance
If you do not attend a Course without giving prior notice under Sections 4-6, no refund or transfer will be given.

If you are unhappy with any aspect of a Course or your booking, please contact us via our Contact page so we can address it directly.
12. Governing Law
This policy is governed by the laws of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
